Policy
- The Galiano Club receives donations from a variety of sources, including individuals, groups and other societies. Donations are received to support specific programs of the Galiano Club and for its general operations.
- The Galiano Club initiates a number of fundraising activities to support its general operations and/or a specific program.
- The Galiano Club developed this policy to guide and manage these donations and fundraising activities.
- The Galiano Club is committed to protecting the personal information of its donors in its collection, use and disclosure of such information. The Galiano Club complies with Canada’s Information Protection and Electric Documents Act (“PIPEDA”), the BC Personal Information Protection Act (“PIPA”) and any other relevant legislation.
Fundraiser Behaviour
- Any person engaged in asking for, or receiving funds on behalf of the Galiano Club, whether they are an employee, Board Director, volunteer or a member of the public, must:
- act with fairness, integrity, and in accordance with all applicable laws;
- cease contacting a donor who states they do not want to be contacted;
- disclose any actual or apparent conflict of interest;
- not accept donations that are inconsistent with the Galiano Club’s values and mission; and
- secure any confidential information, which may include credit card information.
- The Board of Directors shall be informed in a timely manner of complaints from donors or prospective donors about any fundraising matters.
Donor Requests
- The Galiano Club respects and will strive to honour donors’ (and prospective donors’) specific request as it relates to the donation and the individual.
- Such request may include that:
- the donor’s name and/or the amount of the donation will remain anonymous;
- the donation will be used for a specific purpose or program;
- the donor not be contacted or the contact will be as limited as requested;
- the donor will not be contacted by telephone or any other technology;
- the Galiano Club will not send printed material concerning the organization or any of its programs to the donor by any means; and
- if contact is made, such contact will be discontinued upon request.
Donor Lists
- At no time with the Galiano Club sell or otherwise distribute its donor list.
- If, at any time, the Galiano Club decides to share or exchange its donor list it must:
- have the approval of the Board of Directors;
- abide the Canadian Marketing Association Code of Ethics of Practice; and
- honours donors’ request to be excluded from such lists.
Donor Receipting
- All donations, whether in cash or in kind will receive a donation receipt for income tax purposes.
- If a donation is made through Canada Helps, the receipt for income tax purposes will be issued by Canada Helps.
- The Galiano Club will make its best efforts to acknowledge each donation with a private note to the donor.
Fundraising Practices
- The Galiano Club, from time to time, engages in fundraising activities to support one or more of its programs, to pay for improvements to its properties or to generally assist in the operating expenses of the organization.
- If requested, the Galiano Club will identify those persons involved in the fundraising activity, which may include staff, volunteers, Board members or member of the public.
- The Galiano Club, and any of its programs, must in its fundraising materials and/or activities:
- state the name of the Club;
- identify the purpose or program for which the funds are being requested;
- be truthful and not misleading about the fundraising objective; and
- set out when a donor with receive an Official Income Tax Receipt and any minimum amount that may be applicable.
- The Galiano Club may, from time to time, advise the public of a fundraising initiative and its result in printed or electronic materials.
- The Galiano Club does not pay fundraisers. If the Galiano Club determines that it will hire and pay a fundraiser, for a specific activity, it will only do so if the Board of Directors approves the payment by way of a Board recorded motion.
Media
- The President of the Board or the Executive Director or their designate may speak to the media on behalf of the Galiano Club.
